Inbox and projects: organizing your recordings

How "Inbox" differs from projects, how to create a project, where to save new recordings, and what the AI does once a recording lands in a project.

Inbox vs projects

"Inbox" is a general holding area for recordings that haven't been assigned to a specific project yet. A project is a folder with context — a single client, a team, or a line of work. The AI analyzes recordings within a project together, so over time it builds up a dedicated knowledge base for it.

The workspace that holds "Inbox" and your projects can be personal — just you, no invites — or a team workspace with members and Owner, Admin, and Member roles. Projects inside a workspace inherit its member list.

Creating a project

Create a project from the sidebar — give it a name, optionally a short description, and a color for quick recognition in the list. The more precise the description, the more confidently the AI will suggest new recordings for that project.

"Save to" when uploading

When you create a new recording — uploading a file, pasting a link, or recording from your mic — you'll see a "Save to" choice: "Inbox" or a specific project. If you're not sure where a recording belongs, pick "Inbox" — you can always move it to a project later.

An empty project shows the same quick-upload buttons right on the page — "Upload file", "Paste link", "Record from mic" — so the first recording lands in the right project directly, no extra "Move" step needed.

Moving a recording

Open a recording and choose "Move to project" — you can move it into a project within the same workspace, or into an entirely different workspace. Moving a recording into a project automatically kicks off AI analysis.

What AI analysis does once a recording is in a project

As soon as a recording lands in a project, the AI extracts entities from it — people, deals, topics, tasks — and links them to the project's existing knowledge base. New mentions without a confident match go into the "Triage" queue, where you can confirm or correct who they belong to. That's how a project's knowledge base grows with every new recording.
