Answers to the questions we get asked most often about how QuillAI works and how it handles user data.

Who can see my recordings?
Recordings are visible only to you and the members of the workspace they're uploaded to — unless it's a personal workspace, a team one has Owner, Admin, and Member roles. A recording only becomes publicly visible if you create and don't turn off a public link for it.
Are my files used to train the AI?
No. Files and transcripts are encrypted in transit and at rest, accessible only to you, and are never used to train AI models or shared with third parties.
How do I turn on speaker recognition?
Turn on the "Recognize speakers" toggle in the upload settings — the AI will automatically label transcript sections with each speaker's name.
Can I cancel my subscription?
Yes, at any time, from the billing section. Access to paid features continues until the end of the period you already paid for.
How do I delete my data?
Go to Settings → Privacy & data and click "Delete account": your account, transcripts, and audio are deleted within 30 days, and backups are purged within another 30 days after that. Some payment records are kept longer where required by law.
How do I change my cookie settings?
In the same Settings → Privacy & data section, the "Reopen banner" button brings back the cookie consent banner so you can change your choice.
How do I request an export or correction of my personal data?
Requests like data export, correction, or restricting processing are handled manually — contact support through the in-app feedback form and describe exactly what you need done with your data.
What happens to a team workspace if it's archived?
All members lose access. Data stays read-only for 90 days and is then deleted — within that window, the workspace can be restored from the archive.
Who can change a team workspace's settings?
Only owners and admins. Members can see the settings, but the fields are read-only for them — they can't make changes.
